Electronic credit and debit notes in Costa Rica: when to use each one

A credit note reduces or corrects a document; a debit note increases an amount. The reference and reason should preserve the complete story.

An electronic invoice that has been issued should not be edited like a draft. When the transaction needs a later correction, a credit or debit note creates a new document explaining the change. A credit note reduces, reverses or corrects an amount. A debit note adds an amount that was not included. In both cases, the reference to the original document is central to the record.

The distinction sounds easy until a real case appears: a partial return, a discount agreed after invoicing, an incorrect quantity or an additional charge. Before choosing a note, write what happened in one sentence and ask whether the customer's balance should decrease or increase. That operating question usually clarifies the discussion, although the final treatment must follow the supporting documents and applicable accounting judgment.

When a credit note usually appears

A credit note is commonly used when a customer returns goods, receives a later price reduction, was charged for an incorrect line, or needs all or part of a document reversed. It should not be a loose description attached to a negative number. The note should identify the related invoice, state the reason and include enough detail to understand which part changed.

Consider a distributor that invoices ₡500,000 for ten units. The customer returns one unit worth ₡50,000 before paying. The credit note refers to the invoice and reduces the balance for that unit, together with the corresponding tax adjustment. The original invoice remains in the history, while the note explains why the outstanding amount is now different.

  • A full or partial return of goods.
  • A discount granted after the invoice was issued.
  • Correction of a line that was billed too high.
  • A documented reversal of an invoiced transaction.
  • An adjustment that decreases the customer balance.

When a debit note makes more sense

A debit note moves in the other direction by increasing the amount connected to an earlier transaction. It may apply when a valid charge was omitted, a quantity was billed below the agreement, or a financial adjustment needs documentation. It is not a second invoice without context. The reference lets the customer and accounting team see why the balance increased.

Imagine an installation service invoiced for ₡300,000. During contract review, both parties confirm that ₡25,000 of materials actually used were left out. If the company's documentation and policy support a debit note, the new document increases the balance and identifies the omitted materials. A reason such as "adjustment" is too vague. Another person should be able to reconstruct the decision six months later.

Mistakes that make the close harder

  • Changing original invoice data without preserving a traceable correction.
  • Issuing a note for the full amount when only one line needs adjustment.
  • Using a generic reason that does not identify the return, discount or charge.
  • Omitting the key of the electronic document being referenced.
  • Updating the customer PDF while leaving the accounting balance unchanged.
  • Treating a Hacienda validation rejection as a sale that requires a credit note.

Hacienda's version 4.4 materials state that reference information is mandatory for credit and debit notes, including the numeric key when the note refers to an electronic document. They also distinguish documents rejected by Hacienda. A document that was never validated does not necessarily follow the same correction path as an accepted invoice. Check the status before creating another document.

A cleaner workflow in Tario
