Purchase orders: create, send and close

Steps

   In Purchases → Purchase orders use New purchase order: Vendor, PO number, Reference number, Order date, Expected delivery, Currency and the Line items (Product, Quantity, Unit price, Tax %). Save with Save purchase order.

   You can also ask Tario AI for it, for example "Create a purchase order to Distribuidora Central for 20 reams at ₡4,500 and send it". The vendor and products must already exist; the card shows vendor, dates, currency and lines, and on Approve the order is created as Draft (and emailed if you asked, as long as the vendor has an email address). The chat leaves a link to the order.

   The order starts as Draft and becomes Open when you send it. From the actions menu you can Print, Download PDF or Email vendor with the PDF attached.

   When you receive the vendor's invoice (through Reception or XML), link it to the order from the received document's detail; in the list, the Linked bill column shows Linked or No bill.

   To close it use Close. If a bill is already linked, you confirm Close purchase order; if not, the dialog offers Associate existing bill (a bill already received from that vendor), Create FEC draft or Close anyway.

   Convert to FEC generates a draft Electronic Purchase Invoice (FEC) with the order's lines, for vendors that do not issue electronic receipts.

7. 7

   Cancel order leaves it as Cancelled without deleting it; Duplicate creates a new draft from an existing order.

   Filter by status, vendor and currency, or search by number or vendor; All statuses includes closed and cancelled orders.
