Vendors: profile, contacts and statement

The vendor directory uses the same form as clients, with ID lookup in Hacienda, contacts, payable balances and an exportable account statement.

If you are not signed in, Tario asks you to log in and opens your current company.

Steps

  1. In Purchases → Vendors use New vendor. The form is the same as for clients: Name, country, Identification type (01 individual, 02 legal entity, 03 DIMEX, 04 NITE, 05 non-resident foreigner, 06 non-taxpayer), Identification (cedula), Email, Phone, economic activity, Currency, Website, Notes and address.

  2. Type the ID and click Look up in Hacienda: Tario brings the registered name (Use this name), the status and the tax regime, and applies the economic activity if one is registered.

  3. Add Contacts (first name, last name, email, phone) and mark who gets a copy of the documents; the Primary contact appears on the profile.

  4. The list shows Payable, YTD spend and Status (Current, Open, Overdue); the cards summarize Active vendors, Open payable, Overdue and YTD spend.

  5. When you select a vendor you see the Vendor detail: Purchase summary, Recent bills with their balance due, Payment history (date, bill, amount, method, reference) and their contacts.

  6. Statement downloads the vendor's statement and Email statement sends it by email to the contact; both actions also exist in the API.

  7. Import vendors opens the data import (CSV or Excel) and Export downloads the filtered list.

Tips

  • An XML received from a vendor that does not exist yet creates the profile automatically with the ID and name from the document; fill in the email and contacts afterwards.
