Create and issue an electronic invoice or ticket
From Sales → Invoices you build the document (client, lines with CABYS and VAT, sale condition, payment methods and currency), save it as a draft and issue it; before sending, Tario checks everything Hacienda would reject and e-mails the client once Hacienda accepts.
If you are not signed in, Tario asks you to log in and opens your current company.
Steps
In Sales → Invoices click New invoice (or Generate with AI to describe the sale and review the draft Tario builds). Under Hacienda Costa Rica pick the Document type: Invoice, Electronic ticket (for final consumers) or Electronic export invoice, and the Economic activity you sell under.
Under Client and document choose the Client (a ticket can use Final consumer (no receptor)), the Invoice date and the Currency. If it is not CRC, Tario brings the day's reference Exchange rate; change it with Edit exchange rate.
Set the Sale condition (01 - Cash, 02 - Credit…) with its Credit term and Due date, and the Payment method. If you are paid with more than one method, turn on Combine payment methods: the amounts must add up exactly to the total.
Under Lines use Add line and pick the Product; the CABYS and whether it is a good or a service come from the product. If it does not exist, create it right there with New product (CABYS, Hacienda type, IVA rate). Fill in Quantity, Unit price and the rate under VAT.
For discounts, on each line use Edit line discount (Discount type by Amount or Percentage and the Hacienda discount code) or switch the Discount method to Per document. An exempted line is marked with Exoneration, and charges outside the lines (10% service tax, stamps, collection on behalf of a third party) go under Other charges → Add charge.
Save with Save as draft to continue later, or click Issue invoice. If something Hacienda would reject is missing (13-digit CABYS, price 0, client without economic activity, exchange rate, text lengths), To issue, the following is missing: appears with a Fix link on each item.
In Review invoice before issuing confirm the recipients (To and Copy (CC)), the payment reminders and the PDF preview, and confirm with Issue invoice (or Keep as draft).
The Status column moves to Queued and Sending, and the list refreshes itself until Accepted or Rejected. When Hacienda accepts, Tario e-mails the client the PDF, the signed XML and Hacienda's response.
Tips
- To give an item away do not use price 0: Hacienda rejects it. Use the real price with a 100% discount.
- If you see Configure Hacienda before sending invoices, you can keep saving drafts; Open Hacienda settings takes you to what is missing (certificate, credentials, branch, address).
- The transitional rates (0%, 4% and 8%) only appear on credit and debit notes, because Hacienda does not accept them on invoices.
Common errors
