Items and catalogs: creating, tracking stock and reading the kardex
A catalog defines the SKU and the link to the sales product; an item is the actual stock (equipment or expendable) valued at the moving weighted-average cost per location.
If you are not signed in, Tario asks you to log in and opens your current company.
Steps
Inventory → Overview shows the Inventory value, the On-hand quantity, Active repairs, Warranty expiring, Stock risks and the Top moving items.
Under Inventory → Catalogs create the reusable definition first: Code (the SKU), Description, Unit of measure, brand, Supplier and Acquisition price. Turn on Use for invoicing and link the sales Product or service so invoices and bills move the stock.
Under Inventory → Items create the item and choose the Type: Equipment (identifiable units with Asset tag, Serial number, Brand, Model, Purchase date, Warranty expiry and Weekly rate) or Expendable (material counted by quantity). Link it to its Inventory catalog and give it a Current status.
Opening stock is not typed on the item: record a Receipt under Movements (or let the first bill do it). That way every unit has a date, a location and a cost.
Click an item to open its detail: Balances per location (On hand, Available, Reserved), Movement history, Assignment history and Repair history. Item Kardex shows In, Out and Balance in chronological order.
Tario values every item per location at the Moving average cost: each receipt recalculates the cost with the new purchase and each sale leaves at the current average.
From the invoice editor you can create a product on the fly with New product (Name, Code (SKU), Price, IVA rate, CABYS); to also track stock, link it to a catalog afterwards. Photos are uploaded on the product under Product images.
Tips
- If a catalog has several items (for example several units of the same equipment), Tario asks you to confirm which one is issued when invoicing; for expendables one item per catalog is enough.
- In the items list you can select several and use Transfer (choose the Destination) or Change status in one go.
